Memo: Statutory holiday compensation for hourly student employees (June 13, 2019)

Date: June 13, 2019
To: HR administrators
From: Lindi Frost, Director, Human Resources – Employee & Labour Relations; Harjot Guram, Director, Payroll and Benefits, Financial Operations
Subject: Statutory holiday compensation for hourly student employees

Human Resources and Financial Operations would like to remind all administrators working with hourly student employees about the guidelines for statutory holiday compensation.

If an hourly student employee has been employed for at least 30 calendar days and has worked a minimum of 15 of the 30 calendar days immediately preceding the holiday – across all departments – then they are eligible for statutory holiday pay. It is important to ask your student employees if they are working with multiple departments, so that the full picture of their working relationship with UBC can be established when calculating their eligibility for statutory holiday pay. This pay is recorded as Regular in the PeopleSoft system.

If your student employee is working with another UBC area, please liaise with the student’s administrative contact from that area to ensure they are being compensated accurately. If a student is eligible or has missed statutory holiday pay, please add it to their next timesheet.

Please also remind your student employees to notify each UBC area they are working with, should they be working with multiple departments.

More information about calculating statutory holiday pay is available on the HR website. If you have any questions please contact your HR Associate or Advisor.

Thank you.
