A reminder about assigning early IDs in HRMS: Administrators can use the ‘Early ID’ feature in HRMS to not only assign new IDs to new employees, but also reactivate IDs for previous employees.
In order for new faculty and staff to get a CWL account prior to their appointment being processed in HRMS, it is important for them to be assigned an Early ID. If your department does not have “Early ID” access in HRMS, you can apply for access using the regular HRMS security access form available on our website.

For HR Administrators and those who assist faculty and senior staff with relocating to UBC.
The University provides relocation and travel assistance to eligible faculty and senior management staff in accordance with Policy #82. Information about the relocation policy and related processes may be found on the UBC Human Resources relocation website: www.hr.ubc.ca/relocation/.
To qualify for reimbursement from central relocation funds, new hires must use UBC’s designated relocation and moving vendor, Quality Move Management (QMM). New hires who relocate themselves (ie. packing, driving rental truck, unpacking) may still be eligible for reimbursement from central relocation funds. However, if any other moving company besides QMM and its contractors are utilized, then reimbursement from central relocation funds is not available. By having a single relocation provider, the University was able to achieve very competitive rates as well as manage the relationship directly with the contracted vendor.

HR’s Work-Life and Relocation Services Centre, together with the Faculty of Medicine, has created a Welcome Guide for faculty and staff relocating to UBC from outside Metro Vancouver.The Guide has information on support services available for faculty and staff at UBC, including immigration, relocation, accommodation, and childcare.

Many departments are being solicited by companies to purchase toner cartridges for office printers and copiers.
To alleviate any questions regarding the purchasing of these consumables, Supply Management conducts due diligence on the contracted vendors and the Bookstore’s contracted suppliers to ensure that UBC understand the manufacturing process from the raw materials to the end of life/recycling process, and that environmental standards are met. Departments also realize a cost savings by obtaining toner cartridges from these contracted and pre-qualified suppliers.
For those leased Xerox devices where a department has a signed Statement of Work (SOW) or Schedule 9, toner cartridges are supplied by Xerox free of charge. Contact 1.877.526.9243. For those owned Xerox devices, replacement toner cartridges can be obtained and are charged as per the service contract. If you do not have a service contract, contact Xerox for toner replacement cost. Contact 1.800.668.0199.
For all Ricoh/Ikon/Canon leased devices, replacement toner cartridges can be obtained at no cost.
For owned Ricoh/Ikon/Canon devices, replacement toner cartridges can be obtained and are charged as per the service contract. If you do not have a service contract, contact Ricoh for toner replacement cost. Contact 1.800.430.6229.
All other toner cartridges can be obtained from:

On October 13, a new e-Recruit function was introduced: email notifications when postings close. If you are a Department Recruiter, you will receive these email notifications at 10:00 a.m.whenever you have postings that close the day before at midnight. The email notifications are generated at 10:00 a.m. daily (including weekends). Following is an example of the email notification you will receive:
“A posting you created in e-Recruit has closed. If your posting is for a CUPE position, your applicants will be prioritized by noon today.
Job Opening ID: 5001
Department: Human Resources
Business Title: For Testing Purposes Only
To review your applicants, click on the following link.”
Note that the appropriate link will be included in the email you receive. Once you start receiving the email notifications for your postings, you can click on the link and it will direct you to the Manage Applicants page (after CWL login) for the closed job opening/posting.
Please note that you cannot selectively stop these emails notifications. If you no longer wish to receive them in your inbox, you need to set up an email rule to send them to your junk mail or deleted mail folder.
