Online Application Instructions

  • New to UBC? Create an online myCareer profile by providing an ID (your email address), a password and your contact information.
  • Current or former employee? Log in with your CWL to Self-Service to apply for job openings to be identified as an internal candidate or former UBC employee
  • Ensure your browser is compatible with our system.

Application Process

  1. View the current postings.
  2. Select the position you’re interested in by clicking on the Job Title (you can sort the postings by clicking on any of the column headers).
  3. Review the posting / ad description. To apply, click on the Apply Now button.
  4. Upload your cover letter and resume / CV. Your file name must be shorter than 64 characters and contain no punctuation.
  5. After the resume screen, complete your application by providing education and work experience information (if this information was not included in your resume) and by answering a few questions about yourself and your qualifications.
  6. Click on Submit to finalize your application, or click Save for Later if you are partially complete and want to return later to submit.
  7. You will receive an email notification that your application was received.

To find out the status of your application, log back into myCareer and select My Career Tools.

Applying In Person

We encourage you to submit your application online so you can track your application status and receive email notification. If you require assistance with submitting your application online, please contact UBC HR.

If you are unable to use the online system, you can drop off your application in person. If you do not have a resume, complete the Application form [Current UBC Employee | External Applicant].  Hard copy application forms are also available at the HR Service Centre.

Your application must identify the Job ID and Position Title you are applying for. All applications must be received by the closing date of the posting / ad.

Troubleshooting

Current employee: cannot enter or change profile

The profile for current UBC faculty and staff is extracted from your employment data. If it is not correct, go into Faculty and Staff Self-Service and adjust it. These changes will update your profile.

UBC Employees on recall: How to apply

Check with your Human Resources Advisor to ensure your recall status has been recorded in the Recruiting system. Once it has been set up, you can apply for jobs. Where applicable, the system will automatically prioritize your application because of your recall status.

Job Search: Unsubscribe from job announcements

  1. Log in to the job posting site using the ID and password you created
  2. Click on the My Saved Searches hyperlink at the very top of the screen
  3. Delete the search, or click on ‘Edit’ and uncheck the ‘Job Alert’ checkbox (and resave)

Application process: save a posting for later viewing

Click on the check box to the left of the posting, open the posting description, and then click on Save Job.

Application Process: Request for hiring manager’s name

Human Resources do not provide information about the hiring manager. Hiring takes place within the department.

Application process: need to modify something in application after submitted.

Once an application is submitted, it can not be modified. However, you can withdraw your application and re-apply. Withdrawing an application and re-applying will not affect your application’s standing.

Application process: Want to delete resume from previous applications

You can delete resumes attached to postings that have been filled. However, your former applications and resumes are never available to the current round of hiring managers.

Application process: Verify application has been received.

Once you submit your application, you will receive an email confirmation. You can also sign on to the Careers Home (internal applicantsexternal applicants)  and visit the myCareerTools section to see a list of all applications you have made and their status.

Application process: When does the application ever from “applied”

There are three states of online application status: Applied, Reviewing Resumes, and Hired/Position Filled.

The status changes from Applied to Reviewing Resumes when the recruiter begins the resume review process. The status will change from Reviewing Resumes to either Hired (if you are hired for the position) or Position Filled (if you are not the selected candidate).

Please note that may take some time for the status to change from Reviewing Resumes to Hired/Position Filled – it depends on the department’s hiring timeline. Human Resources does not have any information on the department’s hiring timelines.

Error: “You are unauthorized to view this page”

Check if your browser/operating system are supported; if so, delete the browser’s cookies and try again. NOTE: You cannot have HRMS / FMIS open at the same time.

Error: Job postings are viewable one day, but not the next

Check if your browser is supported. If your browser / OS combination is supported, delete the browser cookies and history and try again. If your browser / OS combination is not supported, please use one of the combinations listed.

Error: Text overlaps on the screen

Check to make sure your browser is supported. Some browsers not supported by the online application system cause the text to display improperly. If this is the case, use a supported browser/OS.

Error: Cannot view attachment of uploaded resume

This may be caused by a pop-up blocker. Read our Opening Resumes/Attachments help document [.pdf] to figure out a solution to this problem. If the problem still persists, please contact UBC HR.

Error: uploaded resume/CV has different formatting once uploaded and converted to PDF

Please make sure your uploaded CV is submitted in portrait mode; avoid margins that exceed one inch; and avoid manual formatting. UBC’s PDF merger is affected by all formatting commands in the document, which are sometimes hidden from user view in the original document.
