UBC Human Resources has launched two new communications vehicles for the UBC Community. As part of our online communications strategy, we now have a community-wide blog (http://www.hr.ubc.ca/blogs/hr/) and a Twitter account (http://twitter.com/ubchr). Information on our Twitter account and blog will create a one-stop online HR communications destination for faculty and staff.
We hope this blog will help you communicate UBC events and HR developments to your faculty and staff. Going forward, when we update HR Networks News with information to be disseminated to staff and faculty, we will include a link to the relevant blog post. You can forward the blog post URL to your employees by email, instead of or in addition to forwarding on the information from the HR Network News Update. These websites are available publicly.

H1N1 Vaccinations Updates

UBC-Vancouver
Due to a shortage of H1N1 vaccine, UBC Student Health Service cannot offer H1N1 vaccine to healthy individuals 19 to 64 years old at this time. New dates for vaccines for the general public will be announced when vaccines are available. Please refer to the HSE H1N1 Flu Information page for the latest information.
Vaccination clinics will be held next week (Nov. 23-25) at the UBC campus for priority groups, as identified by the Vancouver Coastal Health Authority.
UBC-Okanagan
Flu vaccinations are on hold until the eligibility requirements broaden. Please check http://web.ubc.ca/okanagan/hse/health/h1n1fluvirus.html for updates.

Manager's Guide to the Winter Games
The Department of Human Resources and UBC’s 2010 Olympic and Paralympic Secretariat have developed an online resource guide for UBC Administrators. The information provided in the guide is intended to support managers in their efforts to plan and manage staff leading up to, during and immediately following the Vancouver 2010 Olympic and Paralympic Winter Games. The guide includes frequently asked questions on workforce planning, transportation concerns, venue access and security and human resource matters.

Absence-tracking of Influenza-Like Illness
Managers and Administrators are asked to report on each incidence of ILI for faculty and staff. The information gathered will allow the Health, Safety & Environment Department at UBC-V and the Health, Safety & Environment Office at UBC-O to understand the impact the illness has at each campus.
We ask that HR Administrators use the existing HR Sick Leave reporting system to report on ILI absences. More information and instructions can be found on page 6 of the FAQs for Managers and Supervisors: Managing H1NQ 2009 Influenza Virus document.
If you have had staff and faculty already return from an absence due to ILI, but have not yet recorded their absence in the system, you can do so at this time.

Staff and Faculty Volunteer at 2010 Winter Games

UBC Faculty and Staff are invited to welcome the world to our beautiful campuses by becoming part of the UBC Winter Games Volunteer Program. UBC will create volunteer positions including campus tour guides, Learning Exchange reading week volunteers and library ambassadors. Off-campus positions with other Olympic Sponsors are also available.
Faculty and Staff can apply for all positions associated with the UBC Winter Games Volunteer Program. All current volunteer postings are listed on UBC Career Services’ CareersOnline job posting site. Staff, faculty and alumni may need to register for a new account to access the system: http://www.webcommunications.ubc.ca/ubc2010/get-involved/for-volunteers-i-want-to-get-involved/.

Reminder: New Employee CWL PIN
In September, UBC removed the requirement for a new employee to provide their SIN when registering for a UBC CWL. Now, when an employee ID number is created, a randomly generated PIN is created at the same time and provided to the person who creates the early Employee ID.
If you did not generate the Employee ID, you will not have received the email with the PIN to provide to employees if they forget or lose the PIN. To look up this information in HRMS, you can go to Workforce Administration > Personal Information > Modify a Person. The CWL PIN will show up on the screen underneath the Employee ID.

Faculty and staff can pick up tickets at the Chan Centre for the Performing Arts’ Ticket Office between 12:00 p.m. to 5:00 p.m., Monday to Saturday. Please bring your UBC Card for identification purposes.
Departments wishing to send one individual to pick up tickets for the whole department can do so, provided they give a list of names to the Box Office, indicating number of tickets for staff and number of tickets for faculty.
