UBC IT will be performing system maintenance Wednesday, April 11, 2012, 6:00 a.m. to 9:30 a.m. HRMS will not be available during this time including HRMS live, e-Recruit, self-service and Careers. HRMS Reporting will continue to be available.
This includes all of our career application portals. Please return after 9:30 a.m. to complete your job application at UBC.

Payroll has finalized the 2010 T4 and T4A Statements of Remuneration Paid. Faculty and staff can download their T4 and T4A statements for their tax returns via the Faculty and Staff Self-Service portal.
How to download your T4 or T4A Statement:
- Log-in to the Faculty and Staff Self-Service portal, with your CWL (using VPN if you are off-campus)
- In the My Pay column of the screen, select Year End Slips to see the content agreement to receive your Statement electronically for the current and subsequent years.
- Note: Faculty and staff who choose not to accept the agreement will be mailed their T4/T4A Statements in late February, consistent with the requirements of the Canada Revenue Agency.

UBC IT will be performing System Maintenance Wednesday, Dec. 29, 2010, from 8:00 a.m. to 1:00 p.m.
Human Resources services not available during this time include HRMS live, e-Recurit (including internal and external job postings), Self-Service, Enterprise Portal (MSP), HRMS Training, and HRMS Reporting.
The Human Resources website (http://www.hr.ubc.ca) will otherwise be available during this time.

Due to IT quarterly maintenance, PeopleSoft HRMS live, eRecruit, Faculty and Staff Self-Service, HRMS Reporting, and the Enterprise Portal will not be available Saturday, Aug. 7/10, 7:00 a.m. to 3:30 p.m. PST.
This means that you will not be able to log into the Self-Service Portal or access the online job application system between these times. The system will be back up after the maintenance cycle is completed.

Moving to a new house or apartment can be a busy and chaotic process. Once the dust has settled and you’ve managed to find the coffee cups, make sure to change your address with UBC, to ensure that you’ll continue receiving all information:
Faculty and Staff Self-Service
The one-stop address change location is in UBC’s Faculty and Staff Self-Service portal. Under the “myPersonal Info” tab, select “Home and Mailing Address” to update your address. While you’re there, make sure that your emergency contacts and email address are up-to-date as well!

Medical Services Plan (UBC Group Enrolment)
If you are enrolled in the provincial Medical Services Plan through UBC group enrollment (a direct debit from your UBC paycheque), you will need to contact Payroll to change your address on the MSP system:
- Fill out Section E of the MSP change form, and submit the form to Financial Services (Forms and addresses are available at the Benefits Forms page).

UBC is changing how it delivers broadcast emails to faculty and staff. The new system will allow broadcast messages to be directed to Vancouver faculty and staff.
As of Dec. 16, UBC broadcast e-mails to all faculty, staff and student employees will be delivered to the e-mail address listed in the UBC HR database (you may know this as the Self-Service Portal). Messages intended only for UBC Okanagan faculty and staff will continue to be sent in the normal global e-mail manner.
To ensure that you continue to receive important broadcast e-mails, please log into the UBC HR Faculty and Staff Self-Service portal at https://www.msp.ubc.ca to check that your e-mail address is accurate and up-to-date. You will need your campus-wide login (CWL) to access Self-Service.
Note: If you are off-campus, please ensure that you first connect to the UBC myVPN service in order to access the self-service portal. Instructions for setting up myVPN are available at the IT website.
How to update your email address
- Go to https://www.msp.ubc.ca.
- Under myPersonal Info on the left side of the screen, click on the Email Addresses.
- Ensure that the email listed in the Primary email field is correct. This is the address that will be used by the new UBC broadcast email service.
- While you are in Self-Service, please ensure that your Emergency Contacts are current.

Most people know UBC’s Staff and Faculty Self-Service portal as “that place I go to see my paystub”. But Self-Service has many other wonderful features to help Faculty and Staff understand their compensation at UBC.
As an employee, you can use Self-Service to:
- Update your personal and emergency contact information
- View your paystub
- Change direct deposit information
- View your T4 and T4A forms
- View benefits enrolment
- Use the myPensions calculator*
- Fill out tuition waivers**
- Apply for on-campus career opportunities
* (if you are enrolled in the UBC Pension Plan)
** (if you are part of an eligible employee group)
To access Self-Service, you will need your campus-wide login (CWL). If you have problems with your CWL, please contact the IT Help Desk. If you wish to access Self-Service from off-campus, you will need to access the site using the UBC VPN. For information on how to set up the VPN, visit the UBC IT website.
